PART 1 NAME AND OBJECTS

1 The Name of the Society

The name of the Society shall be the ‘The Cambridge China Alumni Network’ (中文名称:剑桥校友会), hereafter referred to as ‘the Society’.

2 The Language of the Society

The official language of the Society is Chinese. Brief English translation should accompany communications in the official language so as to facilitate the University in understanding the documents and enable the Society to act effectively as ambassador and advocate for the University and in circumstances where it is appropriate.

3 The Objectives of the Society

The Society shall

(1)  Act as ambassadors and advocates on behalf of the University.

(2)  Organise regular events and initiatives with the aim of providing an opportunity for alumni to:

            •           continue their education

            •           offer their skills, expertise and networks to other alumni or the wider community

            •           socialize with one another

(3)  Promulgate information and advice on career opportunities in all areas of members’ interests.

(4)  Promote the social welfare and economic developments in China through member collaboration and joint projects.

4 The Structure of the Society

(1)  The Society should be comprised of General Members and a Society Committee.

(2)  The Society Committee shall be comprised of a Board, a Regional Executive Committee and a Support Committee.

(3)  The term ‘Committee’ shall hereafter be used to refer to the Regional Executive Committee but not including the Support Committee.

PART 2 MEMBERSHIP

5 The Membership Requirement

Membership shall be open to all current students and alumni of the University of Cambridge. Students and alumni eligible for membership application shall either be residents of China or have made significant contributions to the Society.

6 Termination of Membership

(1)  Any member may terminate his or her membership at any time by giving notice in writing to the Committee.

(2)  The Committee may suspend or terminate any individual’s membership for conduct unbecoming to the Society.

PART 3 THE BOARD

7 The Components

The board shall be comprised of a Chairman and General Board Members. They retain life tenure upon election.

8 The Candidature

(1) To stand for election for the Board, candidates cannot be holding position in the Committee.

(2) Candidates must have made significant contribution to the Society or shown exemplary contribution to the general public.

9 The Obligation

(1) The Board reserves the right to make proposals for amendments of the constitution. If the proposal is supported by more than 90 percent of member votes in a single occasion, the constitution shall be amended accordingly.

(2) The Board oversees the work of the Committee and reserves the right to dissolve the Committee and to initiate general election of a new Committee upon illegal or inappropriate conduct of the Committee on fifty percent Board member votes.

(3) The Board oversees the work of the Support Committee and reserves the right to dismiss members of the Support Committee upon illegal or inappropriate conduct on fifty percent Board member votes.

10 The Elections

A new Board Member shall be elected by at least 90 per cent of general member votes.

PART 4 THE REGIONAL EXECUTIVE COMMITTEE

11   The Components

The Regional Executive Committee shall be comprised of a President, a Secretary and a Treasurer. They shall be elected annually.

12 The Candidature

To stand for election in a particular region, candidates must be alumni members of that region at the time of election.

13   The Obligation

(1)  Regional Alumni President
  

He oversees the functioning of the Society in the region and represents the Society in all formal occasions. He is responsible for organizing alumni networking event. He collaborates with other Regional Committees to plan and organize national society events.

(2)  Regional Alumni Secretary


He is in charge of note-taking in all formal meetings. He keeps all official records for the Society. He assists the President to produce the Society Annual Report and the regional monthly newsletter. He coordinates with other Regional Alumni Secretaries and the Student Secretary to jointly produce general quarterly newsletter for the entire Society. He assists the President in organization and publicity of national society events.

(3)  Regional Alumni Treasurer 


He manages the Society’s account and produces the Annual Financial Report for all general members’ inspection. The Annual Financial Report shall be made available on the official alumni network website (www.cambridgechina.org).

14 The Elections

(1) Nominations

a) All candidates must be nominated and seconded by general members.

b)Any member of the Society may nominate or second a candidate for Committee positions.

c) The same member of the Society may nominate one candidate, and second another candidate, provided the candidates are not running for the same office.

d) The same member of the Society may not nominate multiple candidates, and may not second multiple candidates.

(2) Opening of Nominations

a) The opening of nominations shall be one week before the close of nominations.

b) The Support Committee shall ensure that all candidates and other members of the Society who are eligible to vote are notified of the opening of nominations by sending emails and posting manifestoes on the Society website.

(3) Close of Nominations

a) Nominations shall be close one week before elections.

b) The Support Committee shall ensure that all candidates and other members of the Society who are eligible to vote are notified of who is standing for elections by sending email and posting manifestoes on the Society website.

(4) Electoral Offences

a) It shall constitute an electoral offence for any candidate to intimidate or defame any other candidate, or interfere with publicity produced by another candidate.

(5) Voting

a) Only general members of the Society may vote in elections.

b) Each eligible voter may have one vote for each position.

c) Voting takes place electronically on the Society website.

PART 5 SUPPORT COMMITTEE

15   The Component

The Support Committee shall be comprised of a Webmaster Coordinator, a Student Secretary, a Treasurer and an Alumni Coordinators in charge of different publicity groups.

16 The Obligation

(1)  Webmaster Coordinator

He is in charge of maintaining the Society website and ensuring the accurate and timely transmission of information on the website. He assists the Regional Alumni President in organizing and publicizing national society events in the current student population.

(2)  Student Secretary

He is responsible for liaising with Regional Alumni Secretaries and compiling and organizing information into distinct categories for the production of the general quarterly newsletter. He assists the Webmaster Coordinator to publicize the Society and coordinate national society events.

(3) Campus Coordinator

He is responsible for publicizing the Society to the alumni from the University of Cambridge. He also liaises with other student coordinators to promote general publicity for the Society.

(4) Treasurer

He is responsible for collating financial reports from the Committee and producing accounts for submission under NGO compliance requirements. He participates in reviewing the Annual Financial Report as an inspector.

               

17 The Candidature

Candidates must be current students in the University of Cambridge, with the exception of Webmaster and Campus Coordinator who may be alumni from the University of Cambridge.

18 The Selection

In view of the highly technical requisite skills of the Support Committee members, they are selected through appointment by Support Committee members.

PART 6 SUB-COMMITTEE

19 General Descriptions

Sub-committees could be formed when situations give rise to such needs. In light of the varying circumstances, the Society Committee is given a wide range of discretion in the formulation of purpose and determination of composition with respect to the sub-committees.

19.1 Regional Sub-Committee

(1) Obligation

Sub-committee members have designated roles determined by the Committee. They assist the Committee members in publicity, coordination and organization of events. They carry out detailed planning and organization in the running of the regional activities.

(2) The Candidature

All members of the Society residing in the respective region are eligible for positions in the Regional Sub-committee.

(3) The Selection

In view of the requisite network background and organizational skills for the Sub-committee, the Committee reserves the right to appoint members of the Society to various Sub-committee positions after interviews of all the candidates.

19.2 Support Sub-Committee

(1) Obligation

Sub-committee members have designated roles determined by the Support Committee. They assist the Support Committee members in publicity, coordination and organization of events. Sub-committee roles may involve undergraduate and graduate student coordinators who are responsible for publicizing the Society to different student populations in the University of Cambridge. They also liaise with other student societies to organize social and networking events and expand the outreach of the Society.

(2) Candidature

All members of the Society who are currently studying in the University are eligible for positions in the Support Sub-committee.

(3) The Selection

In view of the requisite network background and organizational skills for the Sub-committee, the Support Committee reserves the right to appoint members of the Society to various Sub-committee positions after interviews of all the candidates.

19.3 National Sub-Committee

(1) Obligation

The nation-wide sub-committee engages with events and activities with an expansive reach such as the Annual Society Ball which aims to bring together members from different regions.

President

He is responsible for determining the themes of the nation-wide events for the year. He liaises with the Committee and the Support Committee for publicity of the events and communication on their progress. He oversees the coordination and organization of the events.

Treasurer

He is responsible for securing major sponsorships for the events through active networking involvement, advertisement and email correspondence. He produces a financial report for the events and submits it to the Committee for inspection.

Secretary

He is responsible for publicity of and registration for the events. He liaises with Support Committee Secretary, Student Coordinators as well as the Regional Alumni Secretary to advertise the events to all members of the Society. He is responsible for maintaining the ticketing system and keeping records of all attendees.

(2) Candidature

All members of the Society are eligible for positions in the National Sub-Committee.

(3)  Election

The Committee and Support Committee members have exclusive rights to vote for the composition of the National Sub-committee. The candidate with the most number of Society Committee votes is eligible for the position.
